In IT departments across the world, there’s a constant tension between the urgent and the important. Teams spend countless hours firefighting, leaving little bandwidth for the strategic work that drives real business value.

An obvious solution would be to grow headcount, but that’s only feasible up to a point. When you analyse what tasks consume the bulk of IT’s time, they’re often repetitive, low-value issues—hardly the kind of stimulating work that attracts or retains top talent. So, if IT teams are to grow, they need to look for team members who don’t mind the minutiae, won’t tire from the tyranny of the urgent and can handle the grind without complaint. This is what agentic artificial intelligence (AI) promises, and it’s why IT teams are now turning to AI agents as their newest team member. 

As any human resource (HR) professional would tell you, bringing a new hire into the fold isn’t as simple as handing over a laptop and a list of tasks. Successful onboarding depends on structure, training, governance and cultural alignment; the same holds for AI agents. Their success depends on technical capability and thoughtful integration into the broader organisational ecosystem.

What AI Agents in IT Teams Look Like

To understand how best to integrate these new ‘digital colleagues’, it helps to first picture what AI agents in an IT department might look like. On a typical day, an AI agent could review an error message, determine its severity and resolve a known issue before a human gets involved. Similarly, after a network disruption, the agent might summarise the timeline, collate important telemetry, identify likely causes and draft a detailed post-incident report, all within minutes.

Personally, I think of AI agents as junior professionals who are extremely literal in their approach to work. When granted this level of autonomy, these agents need clear, step-by-step task descriptions, appropriate access, fair oversight and ongoing evaluation to succeed. This is where the HR analogy becomes powerful because managing AI agents responsibly looks surprisingly similar to managing people well. 

HR Learning in Action: Five AI by Design Principles as People Practices

Similar to how successful organisations apply time-tested HR principles to bring out the best in their people, IT leaders can draw from the time-tested AI by Design framework to help ensure their new AI team members operate safely, fairly and effectively. These five principles mirror some of the most enduring lessons from HR management.

  1. Privacy and Security (The Background Check and Access Control)

In HR, no one starts work without a background check and clearly defined access permissions, and the same applies to AI agents. The privacy and security principle helps ensure agents handle data responsibly, accessing only what’s necessary, safeguarding sensitive information and operating within defined parameters.

Similar to HR teams enforcing role-based access and confidentiality policies, IT leaders must establish data governance rules for AI agents using techniques such as anonymisation and pseudonymisation. Only by doing so can they build a foundation of trust and compliance.

  1. Accountability and Fairness (The Performance Review)

Every employee needs feedback and accountability. Likewise, AI systems must be monitored and evaluated to ensure fair and reliable outcomes. The accountability and fairness principle recognises that the most advanced AI can also perpetuate bias or make suboptimal decisions.

The solution is to keep a human in the loop. Think of it as a performance review process for your digital colleagues to establish feedback mechanisms, analyse results and correct-course when necessary. In essence, IT leaders must serve as both managers of and mentors to their AI workforce.

  1. Transparency and Trust (The Open-Door Policy)

In great workplaces, transparency builds trust. Employees are expected to explain their decisions and collaborate openly; the same rule should apply to AI. The transparency and trust principle calls for explainable AI systems whose logic and actions can be understood, audited and overridden when needed.

As a good manager wouldn’t tolerate a mysterious employee who refuses to explain their choices, organisations shouldn’t accept ‘black box’ AI agents. Explainability enables IT teams to diagnose issues, maintain confidence and ultimately strengthen collaboration between humans and machines.

  1. Simplicity and Accessibility (The Employee Experience)

Complex tools hinder productivity, much like convoluted HR processes frustrate employees. The simplicity and accessibility principle insists that AI agents should make life easier, not harder.

For IT, this means choosing agentic systems that integrate seamlessly with existing workflows and respond intuitively to natural language prompts, whether that’s asking, ‘How many incidents were logged overnight?’ or ‘What’s our current system uptime?’ The easier these agents are to interact with, the more value they can deliver, much like well-designed onboarding and training programmes that set new hires up for success.

  1. Autonomy Boundaries and Safety (The Job Description)

Every employee needs a clearly defined role, responsibilities and limits. Without these, chaos follows. The autonomy boundaries and safety principle serves as the job description for AI agents specifying what tasks they can perform, under what conditions and with what safeguards.

Unchecked autonomy, much like an unsupervised new hire, can lead to costly mistakes. While the onboarding of IT’s newest team member may look different from the past, the fundamentals haven’t changed.
